Modern office setting Growth opportunities Administrative Assistant /Receptionists, will greet visitors, handle incoming and outgoing correspondence, maintain files and records, perform data entry, maintain office calendars and schedules, keep the office clean, safe and organized and keep office supply inventory fully stocked.
Also responsible for supporting executive professionals to help them stay organized and complete tasks that allow them to focus on more advanced responsibilities.
Their duties organizing meetings for administrators, greeting office visitors and composing documents on behalf of administrators.
SUMMARY Provide administrative support to various departments and/or Manager, CEO/COO.
Duties include general clerical, receptionist and project-based work.
Project a professional company image through in-person and phone interaction.
PRIMARY RESPONSIBILITIES 1.
Answer telephones and transfer to appropriate staff member.
2.
Meet and greet clients and visitors.
3.
Create and modify documents using Microsoft Office.
(Intermediate to Advanced Excel Req.
) 4.
Perform general clerical duties to include but not limited to:
copying, scanning, faxing, mailing, and filing.
5.
Maintain hard copy and electronic filing system.
6.
Sign for and distribute UPS/Fed Ex/USPS packages.
7.
Research, price, and purchase office needs and supplies.
8.
Coordinate and maintain records 9.
Setup and coordinate meetings and conferences.
10.
Maintain and distribute weekly schedules.
11.
Collect and maintain office supply inventory.
12.
Billing, Customer Service, and some AR/AP functions (Basic Accounting Knowledge Req.
) 13.
Prepare and make Daily Bank Deposit, and any other errands 14.
Support staff in assigned project-based work.
15.
Other duties as assigned.
16.
Provide office orientation for new employees.
17.
Setup accommodation and entertainment arrangements for company visitors.
KNOWLEDGE AND SKILL REQUIREMENTS 1.
Knowledge of Microsoft Office and telephone protocol.
2.
Duties require professional verbal and written communication skills 3.
Computer literate with the ability to learn new software applications.
4.
Basic Accounting Knowledge Visibility of work requires attention to detail, excellent organizational skills, and discretion with confidential information.
